Case study 2026

# Spot On

One mobile detailer, one system that runs itself.

How Spot On Mobile Detailing went from taking bookings by DM to a system that books, charges and follows up on its own, including a recurring corporate fleet contract that runs without manual coordination.

## At a glance

- **Client**: Spot On Mobile Detailing
- **Location**: California, USA
- **Live since**: March 2026
- **Services**: Booking & Payments, Automation, UI/UX Design, Web Development

**Results**

- **153**: Bookings through the system in five months
- **$23,770**: Booked and charged through the system
- **93%**: Slot occupancy in the corporate program, 9.3 vehicles per session
- **2.7×**: Online bookings per month, from 7 in June to 19 in September
- **65**: Vehicles serviced in 7 corporate sessions, every two weeks since May
- **118**: Post-service follow-ups sent on their own, with a link to leave a Google review

The new site: real work in the hero, the booking right on the home page, recent jobs and reviews.

The problem

## Running a detailing business out of a phone.

Spot On had the demand. What it didn’t have was a system. Every booking, every quote, every payment lived in text threads and DMs, which meant the business only moved as fast as its owner could reply.

- Bookings taken through Instagram DMs and texts, with no formal confirmation or close
- Response times stretching up to two days, with leads going cold while waiting
- Quotes sent with no tracking: no way to know who opened, who booked, who walked
- No way to take a deposit or payment before the job
- No way to collect tips or structured feedback
- Every corporate session coordinated by hand, slot by slot

What we built

## A booking and payment engine, end to end.

A system where a customer books, pays and schedules on their own. No back-and-forth, no manual step. The owner stopped being the bottleneck.

- **Self-service booking**: Customers pick a service, vehicle size, add-ons, date and time, and pay by card, all in one guided flow. The price is calculated live, and the appointment is scheduled automatically.
- **Payments that just work**: Cards are charged the moment a booking is confirmed. If a charge goes through but the slot can’t be scheduled, the system refunds automatically, so no customer ever pays without an appointment.
- **Recurring memberships**: Customers can subscribe to a monthly plan instead of booking one-off, turning one-time jobs into predictable recurring revenue.
- **Tips & reviews, automated**: After each service, the system asks for a tip and a review through its own link, capturing revenue and reputation that were slipping through before.
- **Automatic follow-ups**: Confirmations, reminders and review requests all send themselves on schedule. Nobody has to remember to chase anyone.
- **Owner dashboard**: A private, secure panel to see every booking, manage cancellations, charge extras, run promos and pull reports: the whole operation in one place.

The booking

## Six steps. The price changes with every choice.

1. **Service**: Every service shows its price from the first tap.
2. **Vehicle**: The vehicle size adjusts the price.
3. **Add-ons**: Every add-on adds up live.
4. **Date & time**: Only open slots show up.
5. **Details**: Address and contact, in a single step.
6. **Payment**: 25% is charged at booking. The rest, on the day of the service.

The route

## Nine stops, one route. And a page for every city.

Spot On doesn’t serve “the Bay Area”: it drives a route. From Livermore to Walnut Creek, along the 580 and the 680, with Dublin as home base. The new site draws that route as you scroll, stop by stop, each one with its coordinates, a real job done there and a link to its own page.

Each of the eight cities has a page of its own, with its services, prices, recent work and local questions. So Spot On shows up when someone searches for detailing in Danville or Pleasanton, not only when they search for its name.

The route as you scroll: Livermore, Pleasanton, Dublin, San Ramon, Danville, Blackhawk, Diablo, Alamo and Walnut Creek, each with a real job.

Memberships

## Three plans, one price a month.

Memberships went from a feature to a product with its own place on the site. Three plans (Signature, Refresh and Elite Double), from $95 a month, and the price adjusts to the vehicle as you choose it. Sign-up and card in a single step, billed automatically on the 1st of every month, cancel anytime.

Choosing the vehicle changes the price of every plan, live.

A site that brings clients

## The site stopped being a brochure. It sells.

Around the booking, the new site does the work a salesperson would: it answers, it shows proof and it gives people more than one way to buy.

- **A page for every city**: Eight city pages along the route, each with its services, prices, recent work and the questions people ask there.
- **A blog that answers**: Seven guides on what customers ask before booking: whether ceramic coating is worth it, how often to detail, how to prepare the car, detailing before selling or returning a lease.
- **Real work, real reviews**: Recent jobs with the car, the city and the service, and Google reviews, on the home page and on every city page.
- **Gift cards**: eGift cards from $50, delivered by email right away, with no expiration and redeemable for any service.

The differentiator

## A recurring corporate fleet contract, running on autopilot.

The biggest win wasn’t the website. It was landing a recurring contract with a law firm in Palo Alto and building the entire program to run itself. Scheduled sessions, fixed program pricing, and a waitlist that manages its own slots.

1. **Scheduled sessions with limited slots**: Each session runs on a fixed capacity (10 confirmed spots plus 3 on standby), booked against a specific date at a set program rate.
2. **A waitlist that promotes itself**: When a spot frees up, the system sends a payment link and promotes the next person to a confirmed slot on its own. Unpaid holds expire automatically. No manual slot-shuffling.
3. **Session & access reminders**: Coordinators get automatic reminders for sessions and key/access handoffs, coordination that used to happen by hand.
4. **Executive reporting**: The corporate client gets clean, branded reports in Spot On’s own voice, professional enough for an institutional account.

The new corporate page: why companies keep it running, the four steps, what the company provides and the program’s numbers.

Results

## Built fast. Running in production.

The system went live in March 2026 and has been in production since, adding capabilities every few weeks without breaking what was already running.

Bookings, revenue and follow-ups: data as of October 7, 2026, straight from the system’s database, counting bookings made through the site and the owner’s panel, excluding tests and internal ones. Sales Spot On closes outside the system are not included. Corporate program: the figures published on its page in October 2026.

> The turning point was mid-May. Before then, the digital side was essentially a quote-capture form. After it, a customer could book, pay and schedule with zero human involvement, with automatic charging and refunds built in. That single shift is what took the owner out of the critical path.

How it came together

## From zero to a full operating system, shipping every few weeks.

1. **Mar 2026**: System goes live. Site unified on a single payment and scheduling backbone.
2. **Apr 2026**: Memberships & automated follow-ups. Recurring plans and self-sending review requests.
3. **Apr 2026**: Corporate fleet program launches. Sessions, slots and waitlist for the institutional contract.
4. **May 2026**: Full self-service booking + payment. The turning point: customers close on their own.
5. **Jun 2026**: Session & access reminders. Manual coordination becomes automatic.
6. **Jul 2026**: Self-promoting waitlist. Slots that used to move by hand now manage themselves.
7. **Jul 2026**: Online deposit. 25% is charged at booking; the rest on the day of the service.
8. **Sep 2026**: One domain, eight city pages. Three versions of the domain consolidated into one, plus a page for each city served.
9. **Oct 2026**: A new site. The route map, memberships with live prices, gift cards, a blog and a redesigned corporate page.
